Frequently asked questions

Do I need special hardware?

No special hardware is required. Teams Panel works on any screen with a web browser — a cheap Android TV stick plugged into a meeting room monitor, an old tablet mounted outside the door, or any PC attached to a display. You can repurpose hardware your organisation already owns, or buy an inexpensive Android HDMI stick for under £30 per room. There are no certified hardware requirements, no proprietary devices to purchase, and no vendor lock-in. As long as the screen has a browser and an internet connection, it works as a fully functional meeting room display panel.

How long does setup take?

About two minutes. The process has three steps: sign in with your Microsoft 365 admin account, click to grant admin consent to the Microsoft Graph API, and Teams Panel automatically discovers every Exchange Online room mailbox in your tenant and generates a unique display URL for each one. There is no manual room configuration, no CSV import, and no per-room setup required. Once the panel URLs are generated, load each URL on the corresponding room's display device and it stays live automatically. Any Microsoft 365 Global Administrator can complete the entire setup independently — no IT project needed.

Does it work with Microsoft Teams Free?

Teams Panel requires a paid Microsoft 365 (formerly Office 365) subscription that includes Exchange Online room mailboxes. It reads room calendar data via the Microsoft Graph API using application-level permissions you grant during setup. Microsoft Teams Free does not include Exchange Online or room mailbox support and is not compatible. Any paid Microsoft 365 Business or Enterprise plan that includes Exchange Online and supports room resources will work. If you're unsure whether your plan qualifies, check the Microsoft 365 Admin Centre under Resources.

Can multiple people manage the dashboard?

Yes. Teams Panel supports role-based team access. The account owner can invite additional team members with either owner or member roles. Members can view the room list, panel URLs, and account status, but cannot change settings or manage billing. Owners have full access, including updating the company name, uploading a custom background image, managing billing, and transferring account ownership. This makes it easy to give an Office Manager view-only access while keeping billing and configuration in the hands of the IT Administrator. There is no limit on the number of team members you can invite.

What happens after the 14-day trial?

During the 14-day free trial, all features are available with no restrictions and no credit card is required. When the trial ends, panel displays will show a trial-ended watermark. To continue, subscribe for £5 per month from your dashboard — this covers unlimited meeting rooms and unlimited panel displays for your entire organisation, with no per-room or per-user fees. You can subscribe at any point during or after the trial. If you do not subscribe immediately, your account data is retained and panels resume working as soon as you subscribe.

Is there a limit on the number of rooms?

There is no limit on the number of meeting rooms or panel displays. The £5 per month flat fee covers every room in your Microsoft 365 tenant and as many panel display URLs as you need. Whether your office has two meeting rooms or two hundred, the price remains the same. Each room gets its own unique, publicly accessible panel URL that you can load on any display device. New rooms added to your Microsoft 365 tenant will appear in your Teams Panel dashboard automatically — no manual step required.
